Manage Subtype Metadata: Metadata Administration for Content Type

The Manage Subtype Metadata: Metadata Administration for Content Type page allows you to view metadata items associated with the current Content Type and Subtype. In this example, a metadata item called “Month” has been associated with Content Type “Capital Projects” and Subtype “Lien Holds”. You can tell which Type and Subtype your metadata is associated with by checking the title of the page at the top.

 

Content Types, Subtypes, and Additional Metadata

When you organize your content in SmartCabinet®, it’s handy to remember a simple hierarchy: Content Type > Subtype > Additional Metadata. You can catalog a piece of content by Type and Subtype but you can also add your own additional metadata fields. For example, in the HR Department you might want all of your employee evaluations cataloged with both the employee’s name and the evaluator’s name. To set that up in SmartCabinet®, you’d choose “Human_Resources” as the Content Type, “Evaluation” as the Subtype, and then you’d create two pieces of additional metadata: “Employee” and Evaluator"

 

Now, when we go to check in an employee evaluation, we can use the custom metadata information we’ve created.

 

From the drop-down menus, we’ve selected “Human_Resources” and “Evaluations” for document Type and Subtype. Then, down at the bottom, SmartCabinet® automatically gives us two fields, “Employee” and Evaluator", based on the metadata we created.

 

The Item Actions Menu

 For each metadata item, the following options are available:

  • Edit. Takes you to the Manage Additional Metadata: Edit Metadata page where you can change the Name of the current metadata item and view the Content Type and Subtype it is associated with.
  • Delete. Removes the metadata from the system.
  • Edit Option List. Take you to the Additional Metadata: Option List page where you can edit the option list for the Additional Metadata.

 

The Actions and Add'l Actions Menu

The Actions and Add'l Actions menu has the following options:

  • Assign Existing Metadata. Takes you to the Manage Subtype Metadata: Metadata Administration for Content Type page where you can associate multiple metadata items with the Content Type and Subtype.
  • Add Metadata. Takes you to the Additional Metadata: Add Metadata page where you can associate a new metadata label with the current Content Type and Subtype.
  • Manage Subtype Date Notifications. Takes you to the Date Notification Administration for Content Type page where you can create date notifications for the current Content Type and Subtype.
  • Assign to Content. Takes you to the Manage Subtypes: Assign to Content Search Results page where you can search for content to which you want to assign the current Type and Subtype. This is a convenient way of tagging content with Type and Subtype information after it has been checked into the system.
  • Content Types. Takes you to the Manage Metadata: Content Types page where you can view the list of Content Types.
  • Manage Subtypes. Takes you to the Content Types: Content Subtype Administration for Content Type page where you can view the list of Subtypes for the current Content Type.
  • Additional Metadata. Takes you to the Manage Metadata: Additional Metadata page where you can view additional metadata associated with the current Content Type and Subtype.
  • Date Notifications. Takes you to the Manage Metadata: Date Notifications page where you can view date notifications associated with the current Content Type and Subtype.
