Each step in a workflow normally has a person associated with it who will handle the assigned task. But many workflows are similar and require the same types of people to fulfill each role. This is where workflow tokens come in handy.
A workflow token is a variable that takes the place of a person or a group of people. For example, let’s say every press release that goes out must be approved by a manager. But any manager will do. By setting up a workflow token representing several managers, we can tell the system that any one of them will work or that all of them are required.
Clicking on Workflow Tokens in the Administration tray brings up the Manage Workflows: Workflow Tokens page.
Here you’ll find a list of all the workflow tokens in the system.
The Item Actions Menu
For each Workflow Token, the following options are available:
- Edit. Takes you to the Workflow Tokens: Edit Workflow Tokens page where you can change the value of the current workflow token.
- Delete. Removes the Workflow Token from the list.
The Actions Menu
The Actions menu has the following option:
- Add Token. Takes you to the Workflow Tokens: Add Workflow Token page where you can create a new Workflow Token.
